1. Who We Are

Courtix Padel Limited operates competitive, division-based padel leagues in London, Greater London, Hertfordshire and the surrounding areas.

Courtix Padel Limited is the "data controller" responsible for your personal data. This means we decide how and why your personal information is processed.

We are not required to appoint a Data Protection Officer. Privacy matters are handled by the founders of Courtix, contactable at the email address above.

2. The Information We Collect

2.1 Information you give us when you register

• Your name
• Your email address
• Your phone number
• Your area or location (e.g. town, postcode or region)
• Your padel skill level

2.2 Information relating to participants aged 16–17

Where a participant is aged 16 or 17, we also collect, via the Parent/Guardian Consent Form:

• The name, relationship and contact details of a parent or guardian
• An emergency contact number
• Written confirmation of parental or guardian consent to take part, including alongside adult players
• Separate consent (or refusal) for photography and filming
• Any medical or accessibility information the parent or guardian chooses to share with us

2.3 Information generated through your use of the Platform

• Account details, including your username or display name
• Connection requests and player connections you make with other users through our player search feature
• League information, such as your division, fixtures and results

2.4 Referral programme information

If you take part in our referral programme, we process:

• Your referral code and the referrals linked to it
• Records of qualifying referrals and rewards issued to you

Rewards are Courtix discount codes, which we issue ourselves and email to you. No partner or other third party is involved, and your details are not shared with anyone to provide them. See our Referral Programme Terms.

2.5 Technical information

We may automatically collect limited technical information when you use our Platform, such as your IP address, browser type, device information and how you interact with the Platform, through cookies and similar technologies. See our Cookie Policy for detail.

If the Courtix app crashes or runs into an error, it sends us a crash report so we can find and fix the problem. A crash report contains the error itself and what the app was doing just before it, your device model, operating system and app version, and your account ID. It does not include your name, email address, phone number or IP address.

We do not intentionally collect any special category data (such as health, ethnicity or political opinions), and we ask that you do not send us this type of information.

3. How We Use Your Information, and Our Legal Basis

Under UK GDPR we must have a lawful basis for processing your personal data. We use your information for the following purposes:

Where our lawful basis is consent, you have the right to withdraw that consent at any time (see Section 9). Where our lawful basis is legitimate interests, we have considered your rights and interests and believe our processing does not override them; you may object to this processing at any time.

We will not use automated decision-making that produces legal or similarly significant effects about you.

4. Information Visible to Other Players

4.1 Our Platform allows registered players to search for one another by username or email address and send a connection request.

4.2 When another user searches for you, we will confirm whether an account exists and display limited profile information only (such as your username or display name). We do not reveal your email address, phone number or other contact details to other users.

4.3 There is no messaging function on the Platform. Players cannot send messages to one another. Any registered player can send a connection request to any other registered player, which you are free to accept or decline.

4.4 Your name may appear in league tables, fixtures and results visible to other players in your league.

4.5 You can remove a connection at any time, and in the Courtix app you can block or report another player yourself, or ask us to. A block is stored against your account so that we can stop the two of you contacting each other; the blocked player is not told. If you report a player, we keep the report — who made it, who it concerns, the reason and any details you give — so that we can review it and keep a record of what action was taken. Reports are kept for as long as needed to deal with them and to protect players, and the player you report is not told who reported them.

4.6 We use your league results to calculate your Courtix Rating, a level from Rookie to Pro that goes up and down as you win and lose. Your level is shown to other players, for example in search results and league tables, to help everyone find partners and opponents of a similar standard. Your player page, which other players can open by tapping your name, also shows how many league matches you have played and won, any league titles, and the achievement badges you have earned. Your exact rating points, and how each match changed them, are shown only to you. We keep a record of each change so that a corrected result can be put right. If you delete your account, your rating is deleted with it; past match records keep only an anonymous account ID, because they also hold your opponents' and partner's rating changes.

5. How We Store and Protect Your Data

Your personal information is stored securely using Google Firebase, a cloud database, hosting and authentication platform provided by Google. Firebase provides industry-standard security measures including encryption in transit and at rest.

We take appropriate technical and organisational measures to protect your personal data against unauthorised or unlawful processing, accidental loss, destruction or damage. Access to your data is restricted to the founders of Courtix and the service providers described in this policy.

While we take all reasonable steps to protect your information, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.

6. Sharing Your Data and Third-Party Providers

We do not sell your personal data to anyone.

We share your data only with trusted third-party service providers who help us operate our Platform and communicate with you. These providers act as our "data processors" and may only use your data on our instructions. They are:

• Google Firebase — for secure storage, hosting, and authentication (account login and security) of registration and account data.
• Resend — an email delivery service we use to send you emails, updates and communications.
• Sentry — an error-monitoring service that receives the app's crash reports (see 2.5). Crash reports are stored on Sentry's servers in the European Union (Germany).
• Payment providers — where you pay a league entry fee, your payment is handled by a third-party payment provider. We do not store your full card details. Any payment provider we use will process your data in line with their own privacy policy and applicable card industry standards.
• Venues — we may share limited information (such as names and fixture times) with venues where necessary to run your league.

We may also disclose your information if required to do so by law, by a regulator, or to protect our legal rights.

If Courtix is involved in a merger, acquisition or sale of assets in the future, your data may be transferred as part of that transaction. We will notify you before your data becomes subject to a different privacy policy.

7. International Data Transfers

Some of our service providers (including Google Firebase and Resend) may store or process your data on servers located outside the United Kingdom, including in the United States.

Where your data is transferred outside the UK, we ensure an appropriate level of protection is in place, such as the UK International Data Transfer Agreement, the International Data Transfer Addendum to the EU Standard Contractual Clauses, or transfers to countries deemed 'adequate' by the UK government.

8. How Long We Keep Your Data

We keep your personal data only for as long as necessary for the purposes set out in this policy.

If you register your interest but do not go on to take part, we will keep your data for up to 24 months from your last interaction with us, after which it will be deleted, unless you ask us to remove it sooner.

If you become an active participant, we will keep your data for the duration of your involvement and for a reasonable period afterwards to meet legal, accounting and administrative requirements.

Referral programme records are kept for as long as needed to administer the programme and for a reasonable period afterwards in case of queries.

Crash reports are deleted automatically within 90 days.

You can ask us to delete your data at any time (see Section 9).

9. Your Rights

Under UK GDPR, you have the following rights over your personal data:

• The right to be informed — about how we use your data (this policy).
• The right of access — to request a copy of the data we hold about you.
• The right to rectification — to have inaccurate data corrected.
• The right to erasure — to ask us to delete your data ("the right to be forgotten").
• The right to restrict processing — to limit how we use your data.
• The right to data portability — to receive your data in a portable format.
• The right to object — to processing based on legitimate interests or direct marketing.
• Rights relating to automated decision-making — we do not carry out such processing.

To exercise any of these rights, email us at info@courtixpadel.com. We will respond within one month.

You will not usually have to pay a fee, and we will not discriminate against you for exercising your rights.

10. Marketing Communications

If you have consented to receive marketing from us, we will send you emails about Courtix leagues, news and offers via our email provider, Resend.

You can opt out at any time by clicking the "unsubscribe" link in any marketing email, or by emailing us at info@courtixpadel.com. Opting out of marketing will not affect emails we need to send you about a league you have signed up for, or a reward you have earned.

11. Cookies

Our Platform uses cookies and similar technologies to help it function and to keep your account secure. Full details are set out in our separate Cookie Policy.

12. Participants Aged 16 and 17

12.1 Our leagues are open to players aged 16 and over, and players aged 16 or 17 take part alongside adult players. We do not knowingly collect personal data from anyone under 16. If you believe a child under 16 has provided us with personal data, please contact us and we will delete it.

12.2 Where a player is aged 16 or 17, before their place is confirmed we require a completed Parent/Guardian Consent Form providing:

• Written consent from a parent or guardian for the player to take part, including alongside adult players;
• The parent or guardian's name, relationship to the player, and contact details;
• An emergency contact number;
• Any relevant medical information the parent chooses to share; and
• Separate written consent (or refusal) for photography and filming (see 12.5).

12.4 Player connections. Our player search and connection feature is open to all registered players, but includes no messaging function — players cannot send messages to one another through the Platform. Players aged 16–17 can accept or decline any connection request, and can block or report another player from the Courtix app at any time. Every report is reviewed within 24 hours. Any concerns can also be reported to us directly at info@courtixpadel.com.

12.5 Photography and filming. Matches may be photographed or filmed for promotion, social media and online video content, including by our partners. We will not photograph, film or publish images or footage of a player aged 16 or 17 without specific written consent from their parent or guardian. This consent is separate from consent to take part and can be withdrawn at any time by emailing us.

12.6 A parent or guardian may exercise any of the rights in Section 9 on the player's behalf.

12.7 If you are a parent or guardian and have any concerns about how we handle your child's data, or wish to withdraw any consent, please contact us at info@courtixpadel.com.

13. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated "Last updated" date. We encourage you to review this policy periodically.

14. How to Complain

If you have concerns about how we handle your personal data, please contact us first at info@courtixpadel.com and we will do our best to resolve the issue.
